As an Administrative Project Manager, you will support project teams in administrative project tasks, KPIs, tracking, and administration of project activities, helping ensure projects are delivered efficiently and in alignment with business objectives. This role is ideal for early-career professionals looking to develop project management skills while working in a collaborative, fast-paced environment alongside experienced Project Managers and technical teams. As an Administrative Project Manager, you will provide operational and administrative support to Project Managers and delivery teams. You will help maintain project documentation, track progress, coordinate communications, and support reporting activities to ensure successful project execution. A typical day may include: • Administrative Support: Request and follow up on project billing (invoice issuing), project registration & update on internal systems and tools, updating of Key project information among diverse tools, maintain project documentation, and organize project repositories • Reporting and Metrics: Assist in the preparation of project status reports, dashboards, resource tracking, financial tracking, and project metrics, for project managers and local / regional management • Risk and Issue Tracking: Support the maintenance of project risk logs, issue trackers, and escalation records. • Resource Coordination: Assist with staffing tracking, onboarding coordination, scheduling meetings, and supporting resource management activities. • Process Compliance: Ensure project documentation and activities follow IBM delivery methodologies, governance standards, and internal processes. • Forecasting: Work in coordination with the Project Managers to track revenue / cost forecast for the ongoing projects, generating an updated and consolidated view for internal stakeholders in the tool(s) designated for internal use • Stakeholder Communication: Coordinate communications between project teams, clients, and internal stakeholders, ensuring timely distribution of project information. • Basic understanding of project management concepts and methodologies. • Strong organizational and administrative skills. • Proficiency (Advanced) with Microsoft Office tools (Excel, PowerPoint, Word, Outlook). • Ability to learn & manage multiple tools, required for the day to day operations • Ability to manage multiple tasks and priorities simultaneously. • Strong written and verbal communication skills. • Detail-oriented with excellent follow-up capabilities. • Ability to work effectively in a team environment. • Exposure to project management tools such as Monday.com, Jira, Asana, Microsoft Project, or similar. • Knowledge of Agile and Waterfall project delivery methodologies. • Experience preparing reports, dashboards, and presentations. • Basic financial tracking and reporting knowledge. • Strong analytical and problem-solving skills. • Self-motivated, proactive, and eager to learn. • English level: Intermediate to Advanced.
